Absenteeism and lost time calculator

How much time am I losing to absence, and is it many short absences or a few long ones?

Worked out as an absence rate split into frequency and duration, following the Permanent Commission and International Association on Occupational Health and Hensing.

Hour or day, your call. Every time field uses the same one. Example: hour.
The time in the period
The total nobody worked over the period. Write down which reasons you counted, and use the same rule next period. Example: 576.
What the whole crew was due to work. Scheduled time, not paid time and not calendar time. It has to be greater than zero. Example: 11,520.
The absences and the crew
Each spell counts once, whether it ran half a day or three weeks. Example: 48.
The headcount for the period. It has to be greater than zero. Example: 12.
Optional. This is what separates a loss spread over the crew from one concentrated in a few people. Example: 9.
The workday
Optional, in the same unit as the other fields. It converts the average length into working days. Example: 8.

The math runs in your browser. We do not send or store anything you type.

Your result

Enter the time lost and the time scheduled to see the rate. With the number of absences the average length appears, with the size of the crew the absences per person appear, and with the workday the shape of the loss appears.

Take the reading of your lost time in writing

The report carries your figures, the rate split into frequency and duration with a reading for each, how much of the crew it touched, the calculation trail step by step, and the identity that shows what the rate is made of, in a document you can print and take to the scheduling meeting.

ArticleMany short absences or a few long ones on your farm? Two farms at the same five percent rate needing opposite fixes, with the same worked example as this tool, to the number. It shows why the rate does not remember which of the two figures moved it, and why the lost hour is almost never worth the wage of the hour.Read the full article

An absence rate is lost time over scheduled time, and it is frequency times duration. Enter the time lost, the time scheduled, the number of absences and the size of the crew, and see the rate opened into the two parts that make it, plus how much of the crew was away and what shape your loss has.

Twelve people scheduled 960 hours each, 11,520 for the crew, and 576 hours lost comes to a 5 percent rate. The same 5 percent can be four short absences a person or one long absence of weeks, and the two ask for opposite fixes: a crew undersized for the week, or a job that put somebody in the clinic.

The rate is the share of scheduled time that nobody worked, the way the International Labour Organization frames lost working time, and the tool opens it into frequency and duration so a single number stops hiding which of the two farms you are standing in. It does not diagnose the cause; it names the shape.
